PT Botanic Gardens Guest Service Coordinator

City of Cheyenne

This is a Full-time position in Cheyenne, WY posted June 8, 2021.

SUMMARY: Responsible for coordinating, planning, scheduling and execution of designated programs and responsibilities at the Botanic Gardens.

These positions provide excellent customer service, when working with potential customers and the public, as well as promote a safe environment.

SUPERVISORY RESPONSIBILITIES: Receives general direction from the Botanic Gardens Manager, unless stated otherwise.

Exercises direct supervision over part-time and volunteer staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.
Oversee a guest experience that welcomes diverse audiences, ensures high standards of customer service, generates repeat visitation, and inspires engagement in the organization.

Order and manage retail stock of the gift shop/concessions with items reflecting the CBGs mission, programs, and collections and visitor experiences Oversee all aspects of the gift shop/concessions inventory control and point of sales system, including periodic inventory and reconciliation of retail items Supervise and manage gift shop volunteers & staff in operating the gift shop/concessions, including: stocking displays, completing sales, tracking inventory, and answering visitor questions (balancing the cash drawer and receipts, and gathering on-site donations and making deposits.

Develop and ensure adherence to policies and procedures related to gift shop retail operations Develop annual business plan to drive retail operations and profitability; including outline of inventory control standards and practices, customer service standards and practices, staffing levels and budget Manage periodic special retail events throughout the year to raise the CBGs visibility in the community and provide opportunity to refresh inventory Create functional docent program for public tours utilizing volunteers, including scheduling and providing docents for public tours Assess visitor feedback received through comment forms, as well as maintain accurate records and provide timely statistical and activity reports on visitation.

QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills, and abilities required to perform the necessary functions of this position.

KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of principles of writing and negotiating event contracts and agreements Knowledge of excellent customer service, when working with potential customers and the public Knowledge of English usage, spelling, grammar and punctuation Knowledge of modern office procedures, software, methods, and computer equipment.

Knowledge of federal, state, and local laws, codes and regulations.

Skills to establish and maintain effective working relationships with those contacted in the course of work including customers, the general public, volunteers and other staff members.

Skills to carry out goals, objectives, and procedures of the Cheyenne Botanic Gardens.

Skills to be well organized and able to take many diverse projects to completion simultaneously.

Skills to maintain effective audio-visual discrimination and perception needed for: making observations, communicating with others, reading and writing.

Skills to perform routine mathematical calculations.

Skills to respond to requests and inquiries from the general public.

Skills to understand and carry out oral and written directions.

Skills to communicate clearly and concisely, both orally and in writing.

Ability to research information and analyze data to arrive at valid conclusions, recommendations and plans of action.

Ability to work as part of a team and independently and to exercise reasonable judgment in decision making.

Ability to work independently with minimal supervision.

PREFERRED: Bachelors degree from an accredited college or university with further course work in the field of museum management, project coordination, public relations, administration and/or horticultural science

REQUIRED:Demonstrated experience in planning and coordination, museum management, project coordination, public relations, administration and/or horticultural science; two years of public relations

CERTIFICATES, LICENSES, REGISTRATIONS: Possession of, or ability to obtain an appropriate, valid driver’s license.

WORKING ENVIRONMENT: Indoor, outdoor and greenhouse environment; confined working spaces; humid air.

Exposure to radiant energy and inclement weather.

Exposure to fertilizers, agricultural chemicals and pest control agents.

Work independently, irregular work hours including evenings and weekends as needed.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Essential and marginal duties require a high level of stamina and a good physical condition.

Daily duties may include moderate lifting (up to 45 lbs.), carrying, walking to inspect all landscapes and gardens on a regular basis, repeated bending, being on your feet for most of the day, working with garden tools, working outside during adverse conditions, operating mechanical equipment, operation of computers, the ability to distinguish colors and the ability to safely drive city vehicles.
