The primary function of the Patient Billing Solutions Representative is to handle all the aspects of the patient billing inquiries through various means of communication. They will conduct appropriate research activity and respond in a timely and effective manor. Additionally, must coordinate financial review of all self-pay balance accounts, including appropriate verification/application of insurance benefits for all hospital services prior to further collection activity. Make necessary corrections to patient accounts including adjustments, transfer of patient payment and/or streamlining of appropriate rebilling activity.  Will also adjust financial class as needed to prevent further inappropriate patient billing activity and will be familiar with federal and state requirements for collection and/or write-off of patient accounts.

  • Coordinates all account activity when balance becomes patient responsibility, including communications with patient and, if applicable, guarantors and collection agencies through;
  • Emails
  • Phone calls/voice mails
  • My chart messages (Epic in-basket)
  • Mail and general correspondence
  • Coordinates patient collection process for patients with self-pay and outstanding balances. This may include to run and post patient credit card payments within the Patient Accounting system and set-up payment plans as needed.
  • Resolves and/or directs requests from external sources (i.e. detailed bill requests from attorney offices).
  • Conducts proper collection and/or write-off of patient account balances according to DFCI policy.
  • Review and initiate self- pay refunds
  • Review and resolve patient correspondence through various WQs;
  • Bankruptcy notices
  • Disputed balances
  • Return mail- Sort and assign
  • General correspondence – Sort and assign
  • HSN Surcharges – Review and post state HSN surcharges as per set guidelines.
  • Work closely with clinical trials team ensuring that patient concerns are addressed in a timely manner.
  • Submit and follow-up on co-pay assistance programs.
  • Conducts proper collection and/or write-off of patient account balances according to DFCI policy.
  • Abandoned Property – Review and resolve outstanding patient credit balance and prepare reports to report to state at the end of each fiscal year.
  • Handle special projects as assigned by the manager.


  • Bachelor’s Degree or equivalent experience required. 3+ years of experience in a similar setting preferred.
  • Knowledge of third party billing requirements, practices, and procedures preferred.
  • Must have strong communication and organizational skills.
  • Should have the ability to handle stressful contact with patients and be able to operate computer software packages.
  • Must exercise strong confidentiality with patient information.
